Multi-Invoice Functionality in VGM: Simplifying Your Garage Management Experience

We’re excited to announce a brand-new feature in our web-based garage management application, VGM! Now, you can easily create multiple sales invoices from a single jobsheet. This update is perfect for those long-running jobs where you need to invoice multiple times. In this article, we’ll guide you through the process of using this new feature and explain how it makes your garage management experience more convenient and efficient.

Step 1: Generate an Invoice Without Closing the Jobsheet

To start, navigate to the jobsheet you’d like to invoice. Once there, click the ‘Create Sales Invoice’ button. A dialog box will appear with an option to close the jobsheet, which will be checked by default. To keep the jobsheet open for additional work, simply uncheck this box and click ‘Continue’.

Step 2: Add Additional Line Items or Edit Existing Ones

Once you’ve created an initial sales invoice, you can add more line items or modify existing ones within the jobsheet. You’ll see a warning indicator next to items that are either not in sync with their current invoice or haven’t been invoiced yet. Hover over the icon for more information.

Step 3: Push Item Differences

To update existing invoices with changes made to the jobsheet, click the ‘Push Item Differences’ button in the top toolbar. This will ensure that all invoices are up-to-date with the latest jobsheet information. The invoice number column, visible only when a jobsheet is partially invoiced or has multiple linked invoices, will show you which invoice each item belongs to.

Step 4: Create Additional Sales Invoices

To invoice remaining items, click the button in the toolbar labeled ‘Create Additional Sales Invoice for Not Yet Invoiced Items’. This will generate a new invoice for those items, allowing you to keep track of multiple invoices for a single jobsheet.

Step 5: Edit Sales Invoices Linked to a Jobsheet

If you need to edit any sales invoices linked to a jobsheet, simply click the ‘Edit Sales Invoice’ button. This will display a list of all the invoices connected to the jobsheet, making it easy for you to manage and edit them as needed.
